The organizer of the Adria Future Summit (hereinafter referred to as ‘’Event’’) is the company Sustineri Partners d.o.o. Podgorica (hereinafter referred to as the ‘’Organizer’’, ‘’we’’, ‘’us’’ and ‘’our’’) which is committed to safeguarding your privacy and ensuring that you trust us with your personal data. When you interact with us, you may share personal information with us that allows identification of you as an individual.

This Privacy Policy (hereinafter referred to as the ‘’Policy’’) applies where the Organizer is acting as a data controller with respect to the personal data of an end user (hereinafter referred to as the ‘’User’’ and ‘’you’’) to our website and mobile application (hereinafter referred to as ‘’Platform’’).

The Organizer Platform is supported by CrowdComms Ltd. as the Technology Provider, while all content and presentation of the Event are managed by the Organizer. Both components are jointly referred to as the “Platform” in this Policy.

PRIVACY POLICY

Scope and acceptance of this Policy
We developed this Policy to describe how and what type of personal data will be collected from Users of the Organizer Platform and the purposes, for which we may collect, share or disclose the personal data.

By using Organizer Platform or by giving us your personal data when registering for events or other services, you accept the collecting and processing of your personal data as described in this Policy. If you do not agree to this Policy, please do not use Organizer Platform or give us any personal data.

This Policy applies to any information obtained by the Organizer through use of the Organizer Platform. It is not applicable to any websites controlled by third parties not affiliated with the Organizer that the Organizer Platform may link to (Third Party Sites). Please review the privacy statements of each of these Third-Party Sites as the Organizer is not responsible for and has no influence on the content or the privacy practices of Third-Party Sites.

The Organizer reserves the right to make changes to this Policy at any time. We encourage you to regularly review this Privacy Policy to make sure you are aware of any changes and how your personal data may be used.

What information do we collect and for what purposes?
The following personal data may be processed by the Organizer in the context of the Event:

  • identification data: first name, last name, gender, year of birth, photography, audio visual recording;

  • contact data: e-mail address, telephone number, city, country;

  • professional data: job function/title, name of organization;

  • financial information (such as a payment card number or bank account) for ticket payments;

  • dietary requests (if any);

The Technology Provider may include enhanced network traffic logging in exceptional circumstances, which may result in the logging of the User’s IP address information. The collected information will be used by the Technology Provider solely for diagnostic and security-related purposes and will not be made available to the Organizer or third parties.

The Organizer collects and further processes your personal data to provide you with information about the Event (before, during and after) and to process your application for participation in the Event.

In particular, your personal data will be processed for:

  • your registration and participation to the Event,

  • perform any follow-up actions (such as distribution of post-event information),

  • share content (i.e. photography or video of the Event),

  • to contact you about this event and future other activities (send periodical newsletters),

  • networking purpose between the Event participants through the networking Platform

During the Event audio-visual recordings and photographs of the speakers, organizers, moderators and participants will be taken and published in the context of the Event (social media, website, publications or other media material).

By registering through the Platform, the User has given its consent to be photographed/video recorded individually or in groups during the Event.

A User attending the Event who does not wish to have their photography/video recorded for distribution should make their wishes timely known to the Organizer, in writing and include their photograph. The photo will be used for identification purposes and will be held in confidence.

Children’s personal data
The Organizer does not knowingly solicit or collect personal data from children below the age of 18. If the Organizer discovers that it has accidentally collected personal data from a child below the age of 18, it will remove that child’s personal data from its records as soon as reasonably possible. However, the Organizer may collect personal data about children below the age of 18 years if authorized by the holder of parental responsibility over the child.

How do we share personal data?
The Organizer may share your personal data with third parties for other purposes, but only in the following circumstances:

a. For external processing (service providers)
We may engage service providers, agents or contractors to provide services on our behalf, including to administer of the Platform and other services available to you. These third parties may come to access or otherwise process your personal data in the course of providing these services.

The Organizer may, under certain circumstances, make a limited scope of User personal data (name, job function and business e-mails) available to the Organizer sponsors with the only purpose of networking and potential business connection.

b. Compliance with laws
We will share personal data with third parties outside of the Organizer if we have a good-faith belief that access, use, preservation or disclosure of the personal data is reasonably necessary to:

  • Meet any applicable law, regulation, legal process or enforceable governmental request

  • Investigation of potential violations

  • Detect, prevent or otherwise address fraud, security or technical issues

  • Protect against harm to the rights, property or safety of the Organizer, our Users or the public as required or permitted by law

User rights
The User have the right to access its personal data stored on Platform at any time through the account panel and to rectify them in case they are inaccurate or incomplete. After the name badge is printed, the User will not be able to change certain personal information, such as first name, last name, country, organization, etc.

The User has the right to send a request for deregistration from the Platform through the account panel. As soon as the request is processed by the Organizer, all the personal data will be removed, and all other related data will be de-identified. Deregistration requests are possible until the moment a financial transaction has been made to the Organizer, such as payment for a ticket order.

In accordance with our commitment to protecting the privacy of our users, we offer the option for individuals to request the deletion of their personal data at any time. We understand the importance of transparency and control over one’s own data, and we strive to provide a user-friendly experience that respects these principles.

If user wants to exercise his/her right to data deletion, please contact us through the predefined channels (afs@sustineri-partners.com). We will promptly respond to your request and take appropriate action to ensure the deletion of your data in accordance with applicable laws and regulations.

Should the User wish to withdraw its consent for data processing at any time, you may do so by sending an email to afs@sustineri-partners.com.

How do we use cookies?
The Platform does not use cookies.

The Platform enables the Organizer to integrate with external services such as Google Analytics, Facebook Login, etc., that might use cookies for internal purposes.

The Organizer is not responsible for the information collected from the User by external services.

Security of personal data
The Organizer is committed to protecting the security of your personal data. Any information provided to the Organizer by you is handled with due care and security and will not be used in ways other than as set forth in this Policy, or in any site/area-specific policies, or in ways to which users have not explicitly consented.

How can you access your data or contact us?
You have a right to request access to your personal data. You may send us a request for access and provision of such information will be subject to the supply of appropriate evidence of your identity. You also have the right to request that the Organizer corrects any inaccuracies in your personal data.
