Sustineri Partners d.o.o. Podgorica is the organiser of the Adria Future Summit (the “Event”). We are committed to safeguarding your privacy and handling your personal data responsibly and transparently.

When you register for the Event or use our website or mobile application, you may share information that identifies you as an individual. This Privacy Policy explains what information we collect, how and why we use it, who we share it with, how long we retain it, and the rights you have in relation to your personal data.

We only process personal data where necessary to deliver the Event and related services, and we take appropriate steps to protect it.

Controller Information

The organiser of the Event is Sustineri Partners d.o.o. Podgorica (the “Organiser”, “we”, “us” or “our”).

For the purposes of applicable data protection legislation, including the Montenegrin Law on Personal Data Protection (LPDP), the UK General Data Protection Regulation, and the EU General Data Protection Regulation, the Organiser acts as the data controller.

This Policy applies when we process the personal data of users (the “User” or “you”) of our website and mobile application (together, the “Platform”).

The Platform is technically supported and hosted by CrowdComms Ltd., which acts as our technology provider and data processor. CrowdComms processes personal data only on our documented instructions and does not use your data for its own marketing or independent purposes.

Scope and Acceptance

This Policy describes how and what type of personal data is collected from Users of the Platform and the purposes for which we may collect, use, share or disclose that data.

By registering for the Event, using the Platform, or providing your personal data to us, you acknowledge that your personal data will be processed as described in this Policy.

If you do not agree with this Policy, please do not use the Platform or provide personal data.

This Policy applies only to information collected by the Organiser. It does not apply to third-party websites or services that may be linked from the Platform. Please review the privacy notices of those third parties separately, as we are not responsible for their practices.

We may update this Policy from time to time. The latest version will always be available on the Platform.

What Information We Collect

We may collect and process the following categories of personal data:

Identification data First name, last name, gender (optional), year of birth, photographs and audio-visual recordings taken during the Event.
Contact data Email address, telephone number, city and country.
Professional data Job title or function and organisation name.
Profile and networking data Information you choose to include in your participant profile, messages exchanged with other participants, meeting requests, badge scans and session engagement.
Payment data Payment details required to process ticket purchases. Payments are handled securely by authorised payment providers. We do not store full payment card details.
Dietary information Dietary requirements or allergies where voluntarily provided.
Technical data Device information, usage data and, in limited circumstances, IP address logs collected for security, diagnostics and fraud prevention.

How We Use Your Information

We process personal data in order to:

  • • register you for the Event
  • • manage your participation and access to the Platform
  • • enable networking and communication between participants
  • • provide information before, during and after the Event
  • • distribute Event materials and follow-up communications
  • • process ticket payments
  • • improve the functionality and security of the Platform
  • • comply with legal and regulatory obligations
  • • send newsletters or updates about future activities where you have opted in

Networking Features

The Platform includes networking and engagement features. Your name, organisation, job title and any profile information you choose to share may be visible to other registered participants within the Platform for professional networking purposes.

You can control what information you share through your profile settings.

Event Photography and Recording

During the Event, photographs and audio-visual recordings of speakers, organisers, moderators and participants may be taken. We rely on our legitimate interest in documenting and promoting the Event as the lawful basis for general event photography and recording, where this is proportionate and does not override your individual rights.

Recordings and photographs may be used in connection with the Event, including on websites, social media, publications and promotional materials of the Adria Future Summit and Sustineri Partners.

If you do not wish to be photographed or recorded, please inform the Organiser in writing before or during the Event at afs@sustineri-partners.com. We will make reasonable efforts to accommodate your request.

How Long We Keep Your Data

We retain personal data only for as long as necessary for the purposes set out in this Policy, or as required by law.

Data category Retention period
Registration and participation data 2 years from the date of the Event, after which it is deleted or anonymised.
Payment and financial records 7 years, in accordance with applicable accounting and tax obligations.
Marketing communications (opt-in) Until you withdraw consent or unsubscribe, whichever is earlier.
Technical and security logs 12 months from collection.
Photography and recordings For the duration of our active promotional use of the Event. You may request removal at any time.

Where data is retained for legal or accounting purposes beyond the standard period, access is restricted to those with a demonstrable need.

Children’s Personal Data

The Platform and Event are not directed at children under the age of 18. We do not knowingly collect personal data from children.

Where participation by a minor is authorised, parental or guardian consent is required. If we become aware that personal data has been collected without appropriate authorisation, we will delete it as soon as reasonably possible.

How We Share Personal Data

We share personal data only where necessary and proportionate.

Service Providers
We may engage trusted providers, including CrowdComms Ltd., hosting services and payment processors, to administer the Platform and related services. These providers process personal data on our behalf under appropriate contractual safeguards, including Data Processing Agreements.

Event Partners
A limited set of professional contact details (name, job title and business email address) may be shared with Event Partners strictly for professional networking and Event-related engagement, where permitted by law.

International Transfers
Where any of our service providers or processors are located outside Montenegro, the European Economic Area, or the United Kingdom, we take steps to ensure that appropriate transfer safeguards are in place, including standard contractual clauses or reliance on applicable adequacy decisions. Details of the safeguards applied in any specific case are available on request.

Legal and Regulatory Requirements
We may disclose personal data where necessary to comply with applicable laws, regulations or legal processes, or to protect the rights, safety or security of the Organiser, Users or the public.

We do not sell personal data.

Cookies and Analytics

The Platform itself does not use advertising or tracking cookies.

Certain integrated services, such as analytics or social login providers, may use cookies or similar technologies for operational purposes. These providers process data in accordance with their own privacy policies.

You may manage cookie preferences through your device or browser settings where applicable.

Security of Personal Data

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or disclosure.

Information provided to us is handled with due care and used only for the purposes described in this Policy.

Your Rights

Subject to applicable law, including the Montenegrin LPDP, UK GDPR and EU GDPR where applicable, you have the right to:

  • • withdraw consent at any time, without affecting the lawfulness of processing based on consent before withdrawal
  • • request portability of your data
  • • lodge a complaint with a supervisory authority

For participants located in Montenegro, the competent supervisory authority is the Agency for Personal Data Protection and Free Access to Information (AZLP), agencija.co.me. For participants in the EU or UK, you may also contact the supervisory authority in your country of residence.

You may manage certain information through your account settings on the Platform. If you wish to exercise your rights or request deletion of your personal data, please contact us at afs@sustineri-partners.com. We will respond promptly in accordance with applicable laws. Please note that some data may need to be retained for legal or accounting purposes as described above.
